In short

Bright New Wholesale Ltd is committed to complying with UK data protection law, including the UK GDPR and the Data Protection Act 2018. We want you to feel confident that your personal data is kept safe and used fairly.

This notice explains how and why we collect information from you, who we share it with and why, and what your rights are.

Bright New Wholesale Ltd is the data controller for the personal data you give us. That means we decide how and why it is used. In this notice, "we" and "us" means Bright New Wholesale Ltd.

What information we collect

When you apply for a trade account or buy from us, you enter into a contract with us. To set up and run your account we ask for:

  • your name, job title and business name
  • your delivery and billing addresses
  • your telephone number and email address
  • your VAT number and company registration number, where relevant

We also keep a record of your orders, enquiries and correspondence with us.

Card payments are handled by our payment providers. We do not store full card numbers on our own systems. If you arrange payment by bank transfer, we keep the transfer references we need for our accounts.

CCTV

Where CCTV operates at our warehouse and collection area, it is used for security and the prevention of crime.

How we use your information

We may only use your personal data where we have a lawful reason. The reasons we rely on are:

  • Contract - where we need the information to set up your account and supply your order.
  • Consent - where you have agreed, for example to receive marketing emails. You can withdraw consent at any time.
  • Legitimate interests - where it is reasonably necessary to run and improve our business, in a way that does not override your rights.
  • Legal obligation - where the law requires us to keep or share information, for example for tax and accounting.

Who we share your information with

We only share the information needed, and only with people who help us run the business:

  • Delivery and courier companies, so your goods reach you
  • Payment providers, to take and process payments
  • IT, website hosting and software providers who support our systems
  • Accountants, auditors and professional advisers
  • Marketing service providers who help us send emails or run surveys on our behalf
  • Fraud prevention agencies, and law enforcement or regulators where the law requires

We do not sell your personal data and we do not share it with other companies for their own marketing.

Credit accounts and fraud checks

If you ask for credit terms, we may carry out checks with credit reference agencies to confirm your identity and assess your ability to pay. They may keep a record of the search and share information with other organisations. We may also run checks to prevent fraud and money laundering. Fraud prevention agencies can hold records for up to six years.

If a check suggests a fraud or money laundering risk, we may refuse to supply goods or credit. Some of these decisions may be made automatically. You can contact us to ask for a person to review any decision that affects you.

Transfers outside the UK

Some of our providers, such as email, hosting or analytics services, may store or process data outside the UK. Where this happens we make sure appropriate safeguards are in place, such as UK approved contract terms or an adequacy arrangement, so your information stays protected.

Marketing and keeping in touch

If you agree, we will tell you about new ranges, special offers and website improvements by email. You can stop these messages at any time by using the unsubscribe link in an email, by contacting us, or by changing your account settings. You may still receive messages for a short while until your request is processed. We will always send essential messages about your orders and account.

How long we keep your information

We keep personal data only for as long as we need it for the purposes above. We normally keep order and account records for 7 years to meet tax and accounting rules and to deal with any legal claims. We keep them for longer or shorter only where:

  • the law requires a different period
  • you ask us to erase your data and we have no lawful reason to keep it
  • we are involved in a legal claim, in which case we keep it until the matter is closed
  • a court or regulator requires it

Your rights

Under UK data protection law you can ask us to:

  • give you a copy of the personal data we hold about you
  • correct information that is wrong or incomplete
  • erase your data, where the law allows
  • restrict or object to how we use your data
  • move your data to another provider, where it applies
  • stop marketing or withdraw your consent at any time

To use any of these rights, contact us using the details at the end of this page. If you are not happy with our response, you can complain to the Information Commissioner Office at ico.org.uk.
